Tech Tip : Stop A Few Lines Creating An Extra Page

If a Word document spills onto another page by just a few lines, its hidden Shrink One Page command could help you fit everything neatly without rewriting the text.

Why It Works

Word reduces text size and spacing to try to remove one page, making it useful for letters, handouts or short reports with an almost-empty final page.

How To Do It

  1. Save a copy of your document first.
  2. In desktop Word for Windows, select File > Options > Quick Access Toolbar.
  3. Under Choose commands from, select All Commands.
  4. Select Shrink One Page, click Add, then OK.
  5. Click the new button on the Quick Access Toolbar.

Check Before Sharing

The changes affect the whole document, so check that the text remains readable. If the result is unsuitable, press Ctrl + Z straight away to undo it.
